The Secretary of the Association is responsible for Data Protection within the Association. Personal data will be processed securely and kept up to date. You can access the data we hold on you, or exercise any of your rights, by making a request to the Secretary of the Association (draasecretary@gmail.com)
The waiting list
When you add your name to the waiting list we collect your name, email address, phone number and postal address. We only use this information to contact you when a plot becomes available.
Members of the Association
- When you sign a tenancy agreement you become a member of the Association. We retain your name, email address, phone number and postal address.
- We will invoice you via your postal address, and we will contact you with regard to matters affecting your plot, your membership, meetings and general commuication via email, phone or post.
- We may use your email address and / or phone number to invite you to join our website or any social media groups connected with Dickerage Road Allotments.
- We will retain correspondence to / from you.
- We will retain details of invoices, rent payments and expenses.
- Minutes of General and Committee meetings will identify you by name, where appropriate.
- When you cease to be a member of the Association, we will delete your name, email address, phone number and postal address from our records within six months. Minutes of General and Committee meetings will be retained indefinitely, together with any correspondence that may be deemed necessary for legal reasons.
Associate members of the Association
- When you are nominated to become an Associate Member, and accepted by the Association, we retain your name, email address, phone number and postal address.
- We may use your email address and / or phone number to invite you to join our website or any social media groups connected with Dickerage Road Allotments.
- We may use your email address, phone number and / or postal address to contact you in the event that your member leaves the Association for any reason.
Sharing your personal data
- Contact details of members will be transferred annually to the National Allotment Society (NAS) as part of the Association’s membership renewal. These details will be processed by NAS in line with data protection regulations
- Contact details of Members and / or Associate Members may be passed to the Public Liability insurer in the event of a claim.
