Standard Terms and Conditions of Hire

 

WONERSH MEMORIAL HALL (“the Hall”)

 

Terms & conditions of hire

 

 

 

 

 

  1. Applicants must be over 21 years of age.
  2. The Hirer (whose name and address is shown at the foot of this document) shall not sub‑let.
  3. The Management Committee reserves the right to refuse any application.
  4. Clubs, Associations and Individuals are solely responsible for the control and conduct of proceedings in the Hall and its immediate surroundings. The hirer should ensure that the maximum number of permitted people (120 seated or 60 seated at tables) in the Hall including the organisers/performers is not exceeded.
  5. Persons/organisations booking the Hall must bear in mind at all times that it is situated in a residential area. They are responsible for ensuring that the noise level of music or and other entertainment shall be such as NOT TO CAUSE NUISANCE to residents living in the vicinity. This is particularly important when the Hall windows are open and on leaving the Hall after 11.00 pm.
  6. ALL MUSIC MUST CEASE AT 11.30 pm. The Hall must be vacated and the car park cleared and empty by MIDNIGHT
  7. Being mindful of how COVID-19 and other infectious diseases spread, hirers are requested to ensure that good hygiene practices are maintained throughout their period of hire. The Hall is to be left clean and tidy. All refuse is to be placed in the wheelie bin outside the kitchen door or taken away. No water is to be applied to the Hall floor.
  8. Any breakages of glass or crockery, or damage to the furniture, fixtures or fittings [including fire extinguishers] must be reported to the Honorary Bookings Secretary.
  9. All doors and windows must be locked on vacating the premises. All lights must be extinguished including the light over the old porch. The light on the front corner of the Hall has a delay mechanism to enable the last person leaving the Hall to see the car park. All the Hall light switches are on the left hand side as you go into the Kitchen.
  10. Unless a Temporary Event Notice has been applied for and obtained separately by the Hirer, no alcohol is to be sold on the premises.
  11. The Hirer agrees that it is a precondition of this agreement that before starting to make use of the Hall, the Hirer or his/her authorized representative will familiarize himself/herself with all the Health and Safety/Fire requirements displayed on the notice board in the entrance foyer of the Hall and elsewhere in the Hall. The Hirer should acquaint him/herself with the positions of the emergency fire exits shown on the diagrams of the layout of the Hall.
  12. The Management Committee reserves to themselves or their accredited representative(s) the right of entry at all times to any part of the premises.
  13. The Management Committee will not be responsible for any damage made to the Hall by the Hirer or for loss of or damage to any property of the Hall by the Hirer or property brought into the premises by the Hirer, his employees, or any other person whomsoever, or for any loss or damage or injury which may be suffered or be done or happen to any person, or persons using the premises or its surroundings.
  14. Eight 6 ft. and two 4 ft. lightweight folding tables are available for use in the Hall. These are stored in the room to the right of the stage and must be returned there after use.
  15. The central heating boiler controls and the room thermostats are not to be touched under any circumstances. The Hirer shall ensure that no unauthorized heating appliances shall be used on the premises without the consent of the management committee.
  16. The piano must not be moved from its position on the floor of the Hall.
  17. Any coloured lights on the stage are for use during bona fide stage performances only and are not available for dances, parties, etc.
  18. No decorations which require the use of nails, drawing pins, screws, hooks or adhesive tape shall be applied to the structure, furniture or fittings of the premises or fixed to the window panes.
  19. Clearing up after a booking/function may be left until the following morning by prior arrangement with the Honorary Bookings Secretary and provided there is no booking at that time. Please ensure you have obtained permission should you wish to avail yourself of this facility. There is no charge for this concession.
  20. In the event of a cancellation up to three days before the booking, the Management Committee will endeavour to re‑let the Hall, but reserves the right to retain 50% of the booking fee. Any cancellation within three days of the booking may be charged in full.
  21. Unless prior arrangements have been made with the Lawnsmead booking secretary, hirers should not park in the Lawnsmead car park.
  22. Under certain circumstances a deposit may be required.
  23. The Hall’s “Health and Safety Policy” document is available for inspection in the Health and Safety file which is kept in the kitchen in the top drawer of the cabinet below the hot water urn to the left of the sinks.
  24. Wi Fi is now available at the Hall. The password is shown on the notice board.
