Our trustees play a vital role in making sure that Broxtowe Community Projects (BCP) achieves its core purpose as set out in its charitable objectives agreed with the Charity Commission. Trustees oversee the overall management and administration of the charity. They ensure that Broxtowe Community Projects has a clear strategy and that our work and goals are in line with our vision. Just as importantly, they support and challenge the executive team to enable Broxtowe Community Projects to grow and thrive, and through this, achieve our mission to relieve poverty and hardship across Broxtowe.

At the moment We have vacancies for both General Trustees and we are also looking for a Treasurer to help keep our finances on track.

Applications are invited from people of all backgrounds, skills and life experience but we are particularly keen to recruit Trustees with Finance, HR, Event Management and Fundraising expertise to take the charity forward. 

 

Trustees have a collective responsibility. This means that Trustees make decisions about the charity together, working as a team and not as individuals. 

General Trustee Role 

Duties:

Support and provide advice on BCP’s purpose, vision, goals and activities in light of changing national and local circumstances. 

Approve operational strategies and policies, and, monitor and evaluate their implementation.

Oversee BCP’s financial plans and budgets; assess, monitor and evaluate progress. 

Ensure the effective and efficient administration of the organisation.

Ensure that key risks are being identified, monitored and controlled effectively.

Review and approve BCP’s financial statements.

Provide support and challenge to BCP’s employees in the exercise of their delegated authority and charity activities.

Keep abreast of changes in BCP’s operating environment, legal compliance requirements and funding position. 

Contribute to regular reviews of BCP’s governance. Attend Board meetings, adequately prepared to contribute to Trustee discussions.

Use independent judgement, acting legally and in good faith to promote and protect BCP’s interests, to the exclusion of their own personal and/or any third party interests.

Contribute to the broader promotion of BCP’s objects, aims and reputation by applying your skills, expertise, knowledge and contacts.

As a small charity, there will be times when the Trustees will need to be actively involved beyond Board meetings. This may involve scrutinising board papers, leading discussions, focusing on key issues, providing advice, guidance and impetus on new initiatives, public presentations or representing the charity to funders and other VIPs. Using their skills and experience to advise the Trustees on any other issues in which the Trustee has expertise.

What we are looking for

We are looking for people willing to bring energy, enthusiasm and commitment to the role, and who will broaden the range and diversity of thinking on our board. 

No previous experience of being a Trustee is required and training can be organised to assist you in developing your knowledge and skills. The most important thing is a passion for our work and a regular consistent time commitment of 3 to 6 hours per month.

Willingness and ability to understand and accept their responsibilities and liabilities as  Trustees and to act in the best interests of the organisation.

Ability to think creatively and strategically, exercise good, independent judgement and work effectively as a board member with other Trustees and staff.

Effective communication skills and willingness to participate actively in discussion.

Terms of appointment & Office 

Trustees are appointed for a 1 year term of office, renewal for further terms is agreed at the AGM each year which is typically held in November,

The role of Trustee is voluntary; you will not be paid but you can claim your reasonable ‘out-of-pocket’ expenses incurred as part of performing your duties as a Trustee. 

Time commitment

The most important thing is a passion for our work and a regular consistent time commitment of 2 to 6 hours per month.  

Attending 12-13 Board meetings annually. Currently meetings are held remotely online on the third Wednesday of each month at 6.30pm via Zoom, and 2-3 in-person meetings each year

Attending 2-4 annual strategy / training days

Attending the BCP Annual General Meeting.

Committee membership 

Ad hoc and occasional support through working groups and / or support to the executive team

 

 

Treasurer role

As well as fulfilling the duties of a Trustee, the Treasurer maintains an overview of  BCP’s financial affairs. The Treasurer ensures that effective and appropriate financial measures, controls and procedures are put in place and reports to the Board at regular intervals about the financial health of the organisation.

Overseeing the presentation of budgets, internal management accounts and annual financial statements to the Board of Trustees. 

Ensuring that proper accounting records are kept, and that appropriate accounting procedures and controls are in place. 

Ensuring that robust and comprehensive financial policies are in place and being implemented, and supporting the development of policies covering financial reserves, and cost management. 

Monitoring and advising on the financial viability of the charity, overseeing preparation of the charity’s annual budget and monthly management accounts.  

Overseeing financial controls and adherence to systems, regularly liaising with finance administrator, fundraising team and chair. 

Advising on the financial implications of the charity’s strategic plan, including overseeing the charity’s financial risk-management process. 

Ensuring investments and assets are maximised.

Lead on the appointment of and liaison with BCP’s external auditors. 

Oversee the development and implementation of systems for appraising, mitigating and reporting corporate risk. 

Ensuring that the financial accounts are prepared and disclosed in the form required by relevant statutory bodies, for example, the Charity Commission and/or the Registrar of Companies.

Keeping the board informed about its financial duties and responsibilities and liaising with the finance administrator to develop the financial understanding of the Board of Trustees.

 

What we are looking for

 

A finance professional. Knowledge of charity finance is an advantage. Otherwise an enthusiasm to learn, drawing from sound commercial experience and an understanding of SMEs.

A strategic thinker with an ability to balance risk and opportunity.

Clear communicator with the ability to bring financial information alive to non-finance specialists. 

Willing to play an active role in areas such as forecasting, setting budgets, liaising with auditors and the bank.
