Privacy Policy

About this document

We, the Leith Hill Action Group (LHAG), hold and process personal data relating to individuals who want to be kept up to date with our activities in line with our constitution, and for other people involved with the administration of these activities. We take your privacy very seriously because we want to act responsibly, and the law requires us to do so.

What is personal data?

Personal data means data which relates to a living individual who can be identified from that data.

Who is responsible for your data?

LHAG’s management committee is ultimately responsible for the running of LHAG. The management team nominates a specific individual to oversee data protection and we publish details of who that person is, and how to contact them via lhag@hotmail.co.uk

Scope

This document applies to all those holding personal data on behalf of LHAG. It covers all personal data, irrespective of whether that data is held on electronic media or paper records. The management committee shall ensure that anyone holding or processing personal data is familiar with this document and understands their responsibilities with regard to data protection and privacy.

What we do to protect your privacy:

We will only hold personal data that we need for specific purposes, such as communications with you.

When we collect data, we will explain why we need it, and request your consent to us holding your data.

We will hold your data securely. Electronically-held data will be held within a password-protected environment; data supplied physically will be stored securely.

We will ensure it is relevant and up to date.

We will only hold what we need, and for as long as we need it and for no longer than 24 months after the end of our relationship with you.

We will allow you to see the personal data we hold on you, and we will amend it if it is incorrect.

What data we hold about you

If you have requested that we send you our newsletter, we hold your name, the contact details that you have given us (typically your email address), and possibly the source of your connection to us. If you are involved with us for an event we put on, we hold whatever contact details you have given us, such as your email address, phone number and address.

What we do with your data

If you are a newsletter subscriber, we will contact you periodically regarding information that we think will be of interest to you, possibly including fundraising events, events put on by third parties and requests for donations. If you are involved with us for other reasons, we will contact you in line with this involvement (for example, if we are putting on an event with you, we will contact you to organise this event). Regardless of our reason for holding your details, we may also forward to you details of other matters or events that may be of interest to you.

Consent

We will not pass your data to third parties without your expressed consent, unless legally required to do so.

Subject Access Rights

You have a right to see what personal data we hold about you. Such requests must be made in writing, either by email or by post to the Data Protection Officer. We will reply to you within a month, and we will amend any data we hold about you if it is incorrect. We will not make any charge for dealing with such requests.

Implementation and Review

This policy came into force on 23 April 2018 and will be reviewed annually by the management committee of LHAG.
