MINUTES OF A COMMITTEE MEETING OF COLDEAST DRIVE RESIDENTS’ ASSOCIATION
HELD ON MONDAY 13TH DECEMBER 2021 AT 54 ROTHSCHILD DRIVE
PRESENT: Allan Duncan (Chair), Diana Hindle, Tony Amber, and Stuart Kimber
MINUTES OF PREVIOUS MEETING: The Minutes of the Meeting held on 5th November were reviewed and approved.
SERVICE CHARGE: Tom agreed with the figures that Allan had produced at the previous meeting; however, he is still awaiting a response to his queries form 2 months ago – he will chase again.

COMMUNAL GARDENING: Stuart said that he had just printed out details of the report compiled by Tony and himself with details of the response from Glenn of ERMC. He had not had time to circulate the details so would send them out to the Committee straight after the meeting.
He would make it clear that the existing Gardening Specification, the proposed new Specification which ERMC are still working on and the results of a survey ERMC had recently undertaken of some residents must be sent urgently in order that the Committee could review the new Specification before it is sent out for bidding in January.

ADOPTION OF COLDEAST DRIVE: Allan reported that HCC had emailed him to confirm that the only hold up on the adoption process was the remedial work that is needed where Coldeast Drive joins Book Lane and that they were chasing Millers. He would keep in close contact with HCC and update where necessary.

SOCIAL: Diana reported that she and Allan had a successful meeting with one of the owners of The Mansion. It has been agreed to hold the main ‘Summer Event’ in the grounds of the Mansion (a potential date being 16th May). Diana and Allan would meet with the owner/s again in January to finalise details for the next AGM which might be held at The Mansion (possible date 21st February) and costs for a potential Social Event to be held there.

ERMC COMMUNICATIONS: It was agreed that ERMC’s communications were causing problems, due to regular lack of responses. Allan told the Committee that he must chase each email or request sent to them every time. To improve matters, it was agreed that David and Laura from ERMC be invited to join the next Committee Meeting via Zoom.

NEIGHBOURHOOD WATCH: Diana reported that eh is still ‘editing’ which emails that need to be circulated, to ensure that the vast number do not turn residents off receiving anything. Diana raised the issue of the possibility of lonely and elderly people being alone at Christmas and it was agreed to try to identify any vulnerable people to ensure that at least they are contacted.

CDRA WEBSITE: Diana reported that the website is ready to go live and asked for all Committee Members to visit the site and give feedback and ideas asap.

CDRA MEMBERSHIP: It was agreed that each Committee member would give Diana £4 toward the cost of producing the information about CDRA card to residents. Allan suggested that we all start promoting Membership of the Residents’ Association and our website from January – all agreed.
